Resident Terms of Use

1. Introduction
Welcome to the THE FOUR AMBASSADORS ASSOCIATION, INC. resident portal ("Portal"), powered by RecordGuards. By creating an account or using the Portal, you agree to these Terms of Use. If you do not agree, do not use the Portal.
The Portal is provided by THE FOUR AMBASSADORS ASSOCIATION, INC. ("Association") to give owners, residents, and authorized users access to Association documents, notices, and services.
2. Account Registration and Access
- You must register for an account to access the Portal.
- Your account is subject to approval by an Association administrator. The Association may approve, deny, or revoke access at its discretion.
- You are responsible for maintaining the confidentiality of your login credentials.
- You must not share your account credentials with any other person.
- You must provide accurate information during registration and keep your profile up to date.
3. What You Can Do on the Portal
The Portal allows authorized users to:
- View and download Association documents (governing documents, financial records, meeting minutes, notices, and other records)
- Submit service requests and forms
- Access compliance information and Association notices
- View board meeting schedules and related materials
- Manage your communication preferences
4. Document Access and Ownership
All documents available through the Portal are the property of THE FOUR AMBASSADORS ASSOCIATION, INC.. Your access to these documents is provided in accordance with your rights under Florida law, including:
- Unit owner inspection rights under Florida Statute §718.111(12), §720.303(4), or §719.104(2), as applicable
- Board-approved access policies established by the Association
Documents are provided for your personal use as a member of the Association. You may not reproduce, distribute, or use Association documents for commercial purposes without written authorization from the Association.
5. Records Completeness
The Association is in the process of digitizing its records. Not all Association documents may be available on the Portal at any given time. The Association makes no guarantee that the Portal contains a complete set of all records. If you need a document that is not available on the Portal, contact the Association at 4amb@comcast.net.
Nothing on the Portal replaces your statutory right to inspect Association records in accordance with Florida law.
6. Acceptable Use
When using the Portal, you agree not to:
- Upload files containing viruses, malware, or other harmful code
- Upload illegal content of any kind
- Attempt to access documents, accounts, or areas of the Portal you are not authorized to use
- Circumvent access controls or security features
- Share your login credentials with others or allow unauthorized access through your account
- Bulk download or scrape Portal content
- Use the Portal for any purpose unrelated to Association business
- Interfere with or disrupt the operation of the Portal
- Attempt to reverse engineer, decompile, or extract the source code of the Portal
7. Privacy
Your use of the Portal is subject to the Association's Privacy Policy, available at https://fourambassadors.org/legal/privacy. By using the Portal, you acknowledge that you have read and understand the Privacy Policy.
8. Electronic Communications and E-Signatures
If you consent to receive electronic notices from the Association during registration, you may receive official notices, meeting announcements, and other communications electronically through the Portal or by email. Consent is captured with a digital signature in accordance with the Florida Uniform Electronic Transaction Act (FL §668.50). You may revoke your consent to electronic communications at any time through your account settings or by contacting 4amb@comcast.net. Your consent may also be automatically revoked after two consecutive email delivery failures.
Electronic signatures captured through the Portal are legally binding under applicable law. By signing electronically, you agree that your electronic signature has the same legal effect as a handwritten signature.
9. Disclaimers
- The Portal is provided "as is" without warranties of any kind, express or implied.
- The Association does not guarantee uninterrupted or error-free access to the Portal.
- Information on the Portal is for reference purposes. For legal or financial advice, consult a qualified professional.
- RecordGuards is a technology platform and does not provide legal advice.
10. Termination
The Association may suspend or revoke your Portal access at any time, with or without notice, for any reason, including but not limited to:
- Violation of these Terms of Use
- Sale or transfer of your unit
- Termination of your tenancy or authorized occupancy
- Administrative discretion of the Association
11. Changes to These Terms
The Association may update these Terms of Use from time to time. When material changes are made, you will be notified by email or through a notice on the Portal. Your continued use of the Portal after changes take effect constitutes acceptance of the updated Terms.
12. Governing Law
These Terms of Use are governed by and construed in accordance with the laws of the State of Florida.
